This policy explains what personal information National Guaranteed Rent Scheme collects when you use this website or make an enquiry, how we use it, and the rights you have over it.

National Guaranteed Rent Scheme (“we”, “us”, “our”) provides guaranteed rent to landlords across the United Kingdom. For the purposes of UK data protection law we are the data controller for the information described in this policy.

The information we collect

We only collect what you choose to give us. When you use the forms on this site, including the rent calculator, we collect your name, email address, and, if you provide it, your telephone number, together with the property or budget details you enter (for example postcode, region, property type, number of bedrooms, the rent you have in mind, or the area and budget you are searching within) and the indicative figure produced for you.

We do not collect special category data through this website, and we do not ask for financial account details, card numbers, or identity documents through the site.

How we use it

We use your information to respond to your enquiry, to prepare an indicative or formal guaranteed rent figure, to discuss a possible letting with you, and to keep a record of our correspondence. We do not sell your information, and we do not use it for automated decision making that produces a legal effect.

Our lawful basis

When you use the calculator or an enquiry form you tick a box confirming you agree to be contacted, so our lawful basis is your consent. We also rely on our legitimate interest in responding to enquiries and running our business. You can withdraw your consent at any time by contacting us, and we will stop using your information for that purpose.

Who we share it with

We share your information only where it is necessary to run the service. This includes our website and form hosting provider, Netlify, which processes form submissions on our behalf, and our email provider. These providers act as our processors under written terms and are not permitted to use your information for their own purposes. We may also disclose information where we are required to by law.

Where your information is held

Our hosting and form processing may involve servers outside the United Kingdom. Where information is transferred outside the UK, we rely on appropriate safeguards recognised under UK data protection law.

How long we keep it

We keep enquiry information for no longer than is necessary. Where an enquiry does not proceed we typically hold it for up to twelve months so we can respond to any follow up, after which it is deleted. Where we enter into an agreement with you, we keep records for as long as required to manage that agreement and to meet our legal obligations.

Your rights

Under UK data protection law you have the right to access the information we hold about you, to have it corrected or erased, to restrict or object to our use of it, and to data portability. To exercise any of these rights, contact us using the details above.

If you are not satisfied with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk, although we would welcome the chance to resolve any concern first.
